RussNeft has introduced Directum ECM-system

Moscow. Directum has announced completion of a two-stage process of implementing enterprise content management (ECM) system in RussNeft. Based on the results of the project, 200 employees were connected to Directum, including top management.

RussNeft is one of the major players in the fuel market of Russia. RussNeft has 24 production subsidiaries. In addition to its core business, the Company pays great attention to conformance to HSE international standards. RussNeft improves its operating efficiency by implementing advanced technologies and modern oil and gas equipment, investing in such a way in the development of its own production capacity. 
When implementing large-scale investment projects, RussNeft personnel daily faces the problem of document control, including contractual documents, organizational/ administrative documentation and business correspondence. Thus, for the year as a whole, the Company makes out 56 730 documents. For example, incoming and outgoing correspondence, inter-office memoranda, orders and instructions are considered by 5 specialists, as a rule, and contractual documents are considered by 10 specialists of the Company. To ensure efficient document handling, in 2010 RussNeft management decided to implement enterprise content management (ECM) system. The system had to meet the requirements for scalability, integrateability and fault-tolerance in concurrent working of a large number of users. As a result of ECM systems analysis, Directum system was preferred, because it met all the requirements of the Company. Directum specialists were entrusted system delivery and implementation. 
The project has started in June 2010 and was carried out in two stages. The first stage – planning – included a detailed study of business processes of the Company and the development of design solutions on the matter of automation and document control interaction. In the course of study, Directum and RussNeft specialists marked the priority guidelines of automation: handling of incoming and outgoing correspondence; organizational/ administrative documentation management; registration and approval of contracts and related documents; electronic archive maintenance; integration with 1C: Enterprise 8; data transfer from Escada system. To solve the assigned tasks there were used Directum Basic modules, as well as some optional modules: «Office», «Contracts», «Index of effectiveness».
The second stage — ECM system implementation — included conversion of documents from Escada, as well as automation of incoming/ outgoing documentation registration process, control over performance of tasks, orders and instructions, contracts approval. Directum specialists have modified standard routes of the system. For convenient execution of documents process there was specially introduced a hierarchical approval system of the Company “from bottom to top”. There was also arranged synchronization of data from Directum and 1C: Enterprise 8.
Directum system capabilities and well-coordinated work of its team allowed wise computerizing of document flow process and reducing time, spent for making, approval and search of documents. Based on the results of the project, 200 employees were connected to Directum. Currently, Directum is being transferred to the stage of commercial operation. RussNeft short-term plan includes automation of new processes and further development of the system.
